Job Description
Process Documentation and Mapping
- Document and upkeep the Aspen Scope Heat Map
- Evaluate current and prospective processes within scope to confirm alignment with Aspen vs. BU
- Strategize and execute the transfer of tasks from BU to Aspen
- Develop a RACI matrix (Responsible, Accountable, Consulted, Informed) for present and future.
Process Improvement and Redesign
- Identify opportunities for automation, policy adjustments, and process revamping
- Collaborate with BU, CIT, Aspen SME, and other stakeholders to carry out process enhancement initiatives, including potential policy modifications • Oversee process enhancement projects using PM or Agile methodologies
- Collaborate with Aspen SME to document refined processes.
Process Controls
- Identify and/or establish control points in the process
- Document testing scenarios of control points
- Conduct internal controls testing
- Publish internal controls scorecard
- Establish and conduct management system around review of process controls
- Work with Delivery Team and SME to address process controls issues
- Ensure internal controls compliance and work with internal and external audit teams on audit activities
Scorecard, Metrics, and SLAs
- Measure and release scorecard and SLAs to the appropriate audience
- Create a management system for reviewing scorecard and SLAs
- Regularly assess SLAs and metrics to determine necessary reporting and internal monitoring adjustments
- Identify areas for process enhancement based on trends observed in scorecard and SLAs Incident Management and RCAs
Duties and Responsibilities
- Work with SME to ensure that process alterations are documented and communicated to the team.
Portfolio Management
- Determine required staffing levels based on time motion studies
- Periodically review time motion studies and staffing requirements
- Track productivity gains resulting from automation and process enhancement
- Establish a management system for tracking productivity
- Set targets for world-class performance and productivity (benchmark metrics such as TAT, quality, cost/productivity)
Change Management
- Assess additional scope for Aspen
- Determine the necessary staffing for changes or new scope
- Ensure the presence of a service agreement for changes or new scope
- Institute a change management system for Aspen
- Monitor changes through the change management system
User Acceptance Testing
- Provide feedback on User Acceptance Testing (UAT) scenarios as required
Training
- Offer input to SME regarding training processes
Qualifications
- With at least 4 to 8 years of experience in Operations or Shared Services
- Graduate of Industrial Engineering or any related course
- With experience in Lean Methodology
- With experience in process governance
